Privacy Policy
The short version. We collect business contact information — names, work email addresses, phone numbers, company names, website addresses, and links to professional social profiles — along with technical information about how you use our website. We use it to provide our services, to contact businesses on behalf of our clients, and to measure our own marketing.
We do not sell personal information for money. We do share limited website data with advertising and analytics providers, which counts as “sharing” under several US state privacy laws, and you can opt out at any time. If you were contacted by us as a business prospect, our Prospect Outreach Notice explains that specifically and how to be removed permanently.
1Who we are
Arcanum Studios LLC (“Arcanum Studios,” “we,” “us,” “our”) is a limited liability company registered in the State of Wyoming, United States. We provide managed business development services, operational automation, and outsourced sales services to business clients.
For all privacy questions, requests, and complaints:
Privacy contact
Please include “Privacy Request” in the subject line so we can route it correctly.
2Scope of this policy
This policy covers personal information we handle as the business responsible for deciding how it is used. That includes:
- Visitors to arcanumstudios.com
- People who contact us, submit a form, or book a meeting with us
- Business prospects we contact as part of our own marketing
- Representatives of our clients, vendors, and applicants
When we run outreach on behalf of a client, we act on that client's instructions and the client remains responsible for the personal information involved. In those cases this policy describes our own practices, but the client's privacy notice also applies. Our contracts with clients govern that relationship.
3Information we collect
Information you give us
- Identifiers and contact details — your name, business email address, telephone number
- Business information — company name, company website address, job title, industry, company size, average deal size
- Professional social profile links — such as a LinkedIn profile URL
- Content you send us — the substance of form submissions, emails, and messages, including any information you choose to include about your ideal customer profile or business needs
- Scheduling information — when you book a meeting through our calendar tool, your name, email address, time zone, and any answers you provide to booking questions
- Call information — if you telephone us, we collect your telephone number, your name and company, and the substance of your enquiry
Our telephone line is answered by an AI agent
Calls to (929) 532-0330 are answered by an automated conversational AI intake agent, not a human receptionist. The agent identifies itself as automated at the start of every call. It collects your name, company, contact details, and the reason for your call, and passes them to our team.
Calls are recorded and transcribed so we can act on them accurately. The agent discloses this before collecting any information, and you may decline — if you would prefer not to be recorded, hang up and email joshua@arcanumstudios.com instead and we will respond the same way. You may also ask at any point to be transferred to or called back by a member of our team.
Recordings and transcripts are retained on the same three-year schedule as other enquiry records, and are deleted on request.
Information collected automatically
When you visit our website, we and our analytics and advertising providers automatically collect:
- IP address and approximate location derived from it
- Device type, operating system, screen size
- Browser type and version, and language settings
- Referring URL — the page or advertisement that sent you to us
- Pages viewed, links clicked, time on page, and scroll behaviour
- Date and time of your visit, and session identifiers
This is collected using cookies, pixels, tags, and similar technologies. See section 5.
Business contact information collected from other sources
As part of providing our services and marketing our own business, we compile business contact information about people in professional roles at companies that may be relevant to us or to our clients. This is typically limited to:
- Name, job title, and employer
- Business email address and business telephone number
- Company website address and professional social profile links
- Publicly reported business events — role changes, hiring activity, funding announcements, technology adoption, and similar
Sources include public professional networking profiles, company websites and careers pages, public filings and press releases, job boards, and licensed third-party business data and enrichment providers.
What we do not collect
We do not knowingly collect personal residential addresses, personal email addresses, personal mobile numbers, government identification numbers, financial account numbers, precise geolocation, or biometric data. We do not knowingly collect sensitive categories of information such as health, racial or ethnic origin, religious beliefs, political opinions, union membership, sexual orientation, or immigration status. If you believe we hold any of this, contact us and we will delete it.
4How and why we use information
| Purpose | Information used |
|---|---|
| Responding to enquiries and scheduling meetings | Contact details, content you send, scheduling information |
| Providing our services to clients | Business contact information, business event signals, research we produce |
| Contacting business prospects about our own services | Business contact information and social profile links |
| Producing research briefs and outreach messaging | Business contact information and publicly reported business events, analysed with software including artificial intelligence tools |
| Operating, securing, and improving the website | Automatically collected technical information |
| Measuring our marketing and advertising | Automatically collected technical information, referral source, conversion events |
| Billing, accounting, and contract administration | Client contact and transaction details |
| Meeting legal obligations and enforcing our rights | Any of the above, as necessary |
We do not use personal information to make decisions about individuals that produce legal or similarly significant effects on them.
5Cookies, analytics, and advertising
We use the following third-party technologies on our website:
| Provider | Purpose |
|---|---|
| Google Analytics 4 | Measuring website traffic, page performance, and conversion events |
| Google Ads | Measuring advertising performance and building audiences for advertising |
| Meta Pixel | Measuring advertising performance and building audiences for advertising on Facebook and Instagram |
These providers receive information about your visit, and some of them use it for cross-context behavioural advertising. Under the privacy laws of California and several other US states, disclosing personal information to advertising providers for this purpose is treated as “sharing” (and in some states as a “sale,” even where no money changes hands).
We do not exchange personal information for money. But because this activity meets the legal definition of sharing, you have the right to opt out. See section 7.
You can also control cookies through your browser settings, and you can install a browser or extension that transmits a Global Privacy Control signal, which we honour as a valid opt-out request.
6Who we disclose information to
We do not sell personal information for monetary consideration. We disclose personal information to the following categories of recipient:
Service providers who process information for us
| Provider | Function |
|---|---|
| Microsoft (Outlook / Microsoft 365) | Business email, calendar, and document storage |
| Calendly | Meeting scheduling and calendar booking |

| Vercel | Website hosting and delivery |
| Analytics and advertising measurement | |
| Meta Platforms | Advertising measurement |
| Business data and enrichment providers | Supplying and verifying business contact information |
| Artificial intelligence providers | Analysing business information and drafting research and messaging |
| Customer relationship and workflow tools | Managing pipeline, records, and reporting |
A current list of the specific providers we use is available on request from joshua@arcanumstudios.com.
Clients
Where we perform business development services, we provide the resulting research, contact details, and conversation records to the client who engaged us for that work. That client then handles the information under its own privacy practices.
Professional advisers, and legal or transactional recipients
Our accountants, lawyers, and insurers where necessary; authorities where we are legally required to disclose; and a counterparty and its advisers in connection with a merger, acquisition, financing, or sale of assets, subject to confidentiality.
7Do Not Sell or Share My Personal Information
You may direct us to stop sharing your personal information for targeted advertising at any time. You do not need to give a reason, and we will not treat you differently for asking.
Three ways to opt out
1. Email joshua@arcanumstudios.com with the subject line “Do Not Sell or Share My Personal Information.”
2. Enable a Global Privacy Control signal in your browser. We treat it as a valid opt-out for that browser automatically.
3. Decline non-essential cookies in our cookie banner, where one is presented.
We action opt-out requests within 15 days. An authorised agent may submit a request on your behalf with proof of authorisation.
We do not knowingly sell or share the personal information of consumers under 16 years of age.
8How long we keep information
Our standard retention period is three years from the last meaningful interaction, after which information is deleted or irreversibly anonymised. Specifically:
| Category | Retention |
|---|---|
| Enquiries and form submissions that do not become clients | 3 years from last contact |
| Business prospect records | 3 years from last contact, or immediately on an opt-out request |
| Client records and deliverables | 3 years after the engagement ends, unless a longer period is agreed in the client contract |
| Call recordings and transcripts | 3 years from the call, or on request |
| Website analytics and advertising data | As configured with the relevant provider, not exceeding 3 years |
| Suppression and opt-out records | Retained indefinitely — we must keep a minimal record of who asked not to be contacted in order to honour that request |
| Contracts, invoices, and tax records | As required by law, typically 7 years |
We may extend a retention period where a longer period is required by law, necessary to resolve a dispute or enforce an agreement, or reflects an updated industry standard or best practice. Where we extend a period, we will update this policy and the effective date above.
9Your rights and how to exercise them
Depending on where you live, you may have some or all of the following rights. We extend these rights to anyone who asks, regardless of residence, as a matter of practice.
- Know and access — what personal information we hold about you, where we got it, why we use it, and who we have disclosed it to
- Correct — inaccurate personal information
- Delete — personal information we hold about you, subject to legal exceptions
- Portability — receive a copy in a usable format
- Opt out of sharing for targeted advertising, as described in section 7
- Opt out of profiling in furtherance of decisions that produce legal or similarly significant effects
- Limit use of sensitive personal information — though as noted, we do not collect it
- Non-discrimination — we will not deny service, charge different prices, or provide a lesser quality of service because you exercised a right
- Appeal — if we decline a request, you may ask us to reconsider
How to make a request
Email joshua@arcanumstudios.com with “Privacy Request” in the subject line. Tell us what you want and, where relevant, which email address or company the information relates to.
We acknowledge requests within 10 days and respond substantively within 45 days. If we need more time we will tell you why and take no more than a further 45 days. We may ask for information to verify that the request is genuinely yours — usually confirmation from the email address in question. We use verification information only for that purpose.
If we decline your request, we will explain why and how to appeal. If you are still unsatisfied, you may be able to complain to your state attorney general or another supervisory authority.
10Business prospects
If you received an email or message from us, or from us on behalf of a client, and want to understand why, our Prospect Outreach Notice covers that specifically: where we obtained your business details, why we contacted you, and how to be removed from all future outreach permanently.
11Security
We maintain administrative, technical, and physical safeguards appropriate to the information we hold. These include encryption in transit, access controls limited to those who need the information for their role, multi-factor authentication on systems holding personal information, and prompt removal of access when someone leaves.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach of security affecting your personal information occurs, we will notify you and any required authority in accordance with applicable law, including the Wyoming breach notification statute.
12Children
Our website and services are directed at businesses and business professionals. They are not directed at children, and we do not knowingly collect personal information from anyone under 16 years of age. If you believe a child under 16 has provided us with personal information, contact us and we will delete it promptly.
13Other websites
Our site and our messages may link to third-party websites and platforms that we do not control. Their privacy practices are their own, and we encourage you to read their notices.
14Where information is processed
We operate from the United States and our providers may process information in the United States and other countries. If you are located outside the United States and choose to interact with us, you should be aware that your information will be transferred to and processed in the United States, where privacy laws differ from those in your country.
15Changes to this policy
We may update this policy to reflect changes in our practices, our providers, or the law. When we do, we will change the effective date at the top. If the change is material, we will take reasonable steps to notify you, such as a notice on our website or an email where we have your address.
